Business Administrator

Music in Common is committed to creating a team rich in cultural, ethnic, racial, religious, socio-economic, gender, and sexual orientation diversity to reflect the wide array of communities we serve. Music in Common seeks a hard-working, dedicated Business Administrator to work remotely 10-15 hours per week to help advance our 16-year old organization into the next phase of growth. This is an entry-level, part-time contractor position with tremendous professional development and growth opportunity. Candidates must be experienced with QuickBooks or similar accounting software.
 
The MIC Business Administrator works directly with the Music in Common executive director, grant writer, and Board of Directors, particularly the Board Treasurer and President. The Business Administrator’s job duties fall into two main categories: financial and administrative. What follows is a comprehensive listing of all job functions the position may include. Upon hiring, the Business Administrator and MIC Executive Director will prioritize these functions to formulate an ongoing work detail.
 
 
Financial
  • Oversee deposits of all revenue and payments of all expenses as well as all invoicing
  • Oversee the organization’s QuickBooks files, entering all expense and income transactions including income from donations, grants, program fees, sponsorships, ticket sales, merchandise sales, and raffle / auction sales and all expenses related to programming, events, fundraising, and all operational expenses related to the organization.
  • Oversee all MIC financial accounts and process payments for all MIC expenses
  • Process all paperwork and forms related to grant awards and reimbursement.
  • Generate and email tax receipts and thank you notes to all donors within 24 hours of donation.
  • Manage and process monthly payroll for all MIC employees and contractors
  • Run reports for executive director (ED) and Board as needed
  • Prepare financial reports for quarterly Board meetings
  • Prepare QuickBooks files for accountant and works with them on an ongoing basis for all business related to government and payroll filings.
 
Administrative
  • Research, advise, and administer all operational and one-time financial related business matters such as insurance, credit cards, bank accounts, PPP and EIDL loans, etc. 
  • Oversee miscellaneous administrative tasks related to the operation of the organization.
 
Qualifications

The Business Administrator should have:
  • Superb interpersonal skills including excellent written and verbal communication skills
  • Strong organizational and multitasking skills with the ability to manage several tasks simultaneously and meet tight deadlines
  • Computer savvy with command over MS Word, Excel, PowerPoint, Google docs, and hands on experience with QuickBooks or other accounting software
  • Ability to work independently and determine the steps required to complete assignments
  • Commitment to do whatever it takes to get the job done
 
Compensation
This is a 10 - 20 hours per week (to be determined upon hiring) independent contractor position and does not provide employee benefits. Starting pay is $15 / hour with review for increase after  six months or sooner based upon performance and yearly thereafter.
